Prospecting
Rafi makes outbound calls, texts and emails to your leads — connecting, following up and qualifying them before booking appointments for your sales team. Rafi keeps following up until contact is made.
- 124+ touches / lead / month
- 4+ touches / day
- 80% connection rate (30 days)
- 1 : 6 qualified (60 days)
2
Contact Made
Once contact is made — by phone, email or text — Rafi asks qualification questions based on your playbook. Qualified leads continue through the process; disqualified leads are respectfully declined.
- Qualified → continues to Step 3
- Bad info, DNC, not interested → auto-updated
3
Qualified
Rafi attempts a live transfer to your sales team: an SMS and email go out to everyone on the account, and whoever clicks the link first gets the call transferred directly to them. If no one claims it within one minute, Rafi gets back on the phone and books an appointment instead — your team is notified by SMS and email with the date, time and details.
- Claimed in time → live transfer
- 1-minute window
- Not claimed → appointment booked
4
Transfer & Linking
Accepted live transfers and booked appointments trigger a webhook that pushes the lead into your CRM or other endpoint. No CRM set up? You can use Rafi as your CRM instead, with everything retained in the platform. Transferred data can include any call or lead details you want, mapped into your system.
- Webhook out on transfer or booking
- Rafi can act as your CRM
5
Lead Routing
Leads route into Rafi through webhooks and integrations like Zapier — from lead providers, or directly from your own CRM. When routing from your CRM, the recommended approach is a trigger event: a lead moving to a specific stage, or a tag being added, moves that lead into Rafi for prospecting.
- Webhooks / Zapier
- Trigger: stage change or tag added
Rafi is engaged with prospecting on a lead from the first outbound touch until it is transferred, booked, or resolved.
